Privacy Policy

Brandmax Inc. ("Voicemax," "we," "our," or "us") operates voice.brandmax.ca and provides AI-powered call handling, messaging and customer communication services for businesses. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
Information we collect
Depending on how you interact with us, we may hold:
- Identifying and contact details, including names, phone numbers and email addresses
- Material generated by calls we handle: audio, transcripts, timing and routing metadata
- The content of text and multimedia messages, together with their delivery records
- Operational logs describing how the service was used
- Account and billing records belonging to our business customers
- Technical signals from your device, such as IP address, device type and browser
How we use information
That information is used for the following purposes:
- Running the call answering, routing and scheduling services themselves
- Sending service-related texts, including call summaries, booking confirmations and follow-ups
- Notifying customers about their account and the operation of the service
- Measuring and improving how well the systems perform
- Meeting our obligations under law and under carrier rules
- Detecting and preventing fraud, abuse and misuse of the service
Voicemax does not sell personal information, and does not share it for cross-context behavioural advertising.
SMS and messaging
Text and multimedia messaging forms part of the service. A message may be triggered by an inbound call, a form submission, or another interaction with a business that uses Voicemax.
How often messages arrive depends on activity on the account. Your carrier may charge its usual message and data rates. To stop receiving messages, reply STOP; to reach support, reply HELP.
We do not run bulk marketing campaigns of our own through this channel.
Carrier disclaimer
Delivery cannot be guaranteed. Filtering by carriers, network conditions and settings on the receiving handset all affect whether a message arrives, and carriers accept no liability for messages that are delayed or never delivered.
Consent
Messages are only sent where the recipient has given express consent. That consent may be captured verbally, in writing, or through the recipient dealing with a business that uses Voicemax.
Establishing lawful consent before any contact is messaged rests with the customer, not with Voicemax.
Call recording
Calls handled by Voicemax systems may be recorded and transcribed for service delivery, quality assurance and system improvement. Our customers are responsible for providing any call recording disclosures required in their jurisdiction, and we support configurable disclosure at the start of calls.
Sharing of information
Information reaches third parties only where it is needed to run the service. Those parties fall into these groups:
- Telecommunications and messaging providers
- Cloud hosting and infrastructure providers
- AI model and speech technology providers
- Analytics and monitoring services
Each is bound to use what it receives solely to deliver its service to Voicemax, and for nothing else.
We may also hand over information where the law compels us to, or where it is necessary to protect our rights or the safety of our users.
Data retention
Recordings, transcripts and message records are kept so the service can run and its quality can be reviewed. How long each is held depends on the configuration of the account and on any legal obligation that applies.
A customer can ask us to erase the data tied to their account by contacting support.
Your rights
Depending on your jurisdiction, you may request:
- Access to your personal data
- Correction of inaccurate data
- Erasure of what we hold, so far as the law permits us to erase it
- Restriction of or objection to certain processing

Security
We implement reasonable technical and organisational safeguards to protect information from unauthorised access, loss or misuse. Deployments run on infrastructure aligned to SOC 2, HIPAA and PCI controls where applicable to the engagement.
Changes
This policy will change as the service does. The effective date above always refers to the current version.
